Summary
The incumbent serves as the Supervisor of the Medical Scanning Unit of the Health Information Management section under Patient business Services at the Columbus VA medical Center.
The incumbent supervises the staff responsible for scanning documents into the electronic medical record, as well as administrative documents into VistA Imaging in compliance with the Veterans Health Administration (VHA) policies as well as Joint Commission standards for paper and electronic medical records.
Duties
- Incumbent is responsible for the daily operation of the Medical Records Scanning Unit with the responsibility of resolving daily problems timely and accurately.
- In addition, the incumbent is expected to assure that Leads and employees are functioning at or above a fully successful level for the unit to provide the expected support to other sections, services, Veterans and others with whom there is contact.
- Major duties include but are not limited to: Oversees the daily operation of the unit, ensures that agency policies and priorities are being followed; develops performance standards; and evaluates work performance of subordinates.
- Resolves minor complaints from employees; refers group grievances and more serious unresolved complaints to a higher-level supervisor or manager.
- Interviews candidates for positions in the unit; recommends appointments, promotions, and reassignments to unit positions; identifies and provides for training needs.
- Follows directives in a timely and accurate manner and does not wait until the deadline to ask clarifying questions.
- Assists the Records Manager in assuring that current unit procedures relative to record retrieval, record tracking, scanning/importing, purging and retirement of records are processed in a timely manner.
- Serves as the alternate records manager; ensures all federal records are inventoried and maintained in accordance with the Federal Record Control Schedules.
- Maintains the confidentiality of health information and office information.
